Guidelines for EAP Donor Letter

This guide helps you structure a powerful, personal letter (1-2 single-spaced pages, approx. 500 words) to your donor. Focus on story, impact, and a compelling financial appeal. Preferably hand-written.

1. Foundation & Format

Length/Count: 1–2 pages (single-spaced), around 500 words.

Tone: Professional, personal, and genuinely grateful.

Recipient: Address as "Dear <name>," if known, else use “Dear Scholarship Donor”

2. Your Personal Story (1-2 Paragraphs)

Establish an emotional connection by briefly detailing your background and motivation.

  • Introduction: Your name, enrolled course.

  • Background: Briefly describe your family, hometown, and the values that drive you.

  • The Challenge: Mention sacrifices you or your family made to support your education.

  • Goal: Conclude with your ultimate educational or career aspiration.

 

3. The Scholarship Impact (2-3 Paragraphs)

Use specific, concrete examples to demonstrate the value of their investment based on your status:

A. For Continuing Students (Re-applying)

  • Academic Freedom: Explain how prior funding helped them with their Education.

  • Specific Achievements: Highlight successes (scores, internships) made possible by the support.

  • Financial Relief: Detail costs covered (tuition, housing, books) and loans avoided.

B. For First-Time Applicants

  • Closing the Gap: Detail the critical expenses the funding will fulfill to make attendance possible.

  • Opportunity Creation: Explain what opportunities the support will enable.

  • Focus: Connect the relief to your ability to concentrate fully on studies.

 

4. The Heartfelt Appeal & Future Promise (1-2 Paragraphs)

Frame your request as an investment in your future and demonstrate its lasting impact.

  • Reiterate Need: State clearly that continued support is vital for completing your education.

  • Investment Return: Ask them to invest in the future professional (e.g., doctor, teacher, engineer) you are striving to become.

  • The Pay-It-Forward Commitment: Explicitly detail how you will use your education to benefit your community. Be specific about your plans (e.g., mentoring younger students, sponsoring other kids whenever able to).

  • The Promise: End with a strong commitment to uphold the scholarship's values and honor their generosity.

 

5. Final Review
  • Personalize the letter and check for tone and flow.

  • Ensure your story justifies the impact.

  • Verify the closing appeal includes the financial necessity and the clear community "pay-it-forward" plan.

Second, the leadership role as Vice President of the campus chapter of the Society of Women Engineers (SWE), where I mentored ten incoming first-year students. My cumulative GPA for the year was 3.87, a level of academic success that would have been unattainable if I had remained financially pressured to work full-time hours.

 

My Continuing Need and Future Goals

As I enter my final year, the financial burden is heavier than ever, encompassing costs associated with my mandatory capstone design project, including specialized materials and fabrication costs, in addition to standard tuition and rent. Your support remains the single most important source of funding available to me.

If renewed, this scholarship will specifically secure the necessary funding to complete my senior capstone project: the creation of a working, portable vital-sign monitor for rural clinic use. Crucially, your support will prevent my family from taking on significant loan.

I believe in the power of education to transform communities, and I am working hard to be the kind of dedicated, innovative professional that your generosity aims to support.
